UNIVERSITY INSURANCE-INFORMATION LEAFLET
  1. UNIVERSITY BUILDINGS


The University Buildings are insured against damage caused by incidents such as terrorism, fire, storm, burst pipes etc. including accidental damage, but not against theft of parts of a building or any fixtures and fittings within it.

  1. CONTENTS OF BUILDINGS

Contents are covered provided the property belongs to the University.  Property of staff and students should be covered by their own policies.  Theft/damage to personal items, including vehicles, cannot be covered by the University’s policies.  University property is insured against fire, storm, burst pipes etc., including accidental damage in the same way as buildings.  In addition, University property is covered for theft, provided that the theft takes place from a premises occupied by the university.  There is no cover for theft of property outside any building unless specifically agreed.


In the event of a theft, please take the following action:

  1. notify the police as soon as possible and obtain a crime number;
  2. ascertain the ownership and value of the property stolen;
  3. complete the University's incident report form giving as much information as possible on the circumstances of the theft;
  4. draw the incident immediately to the attention of the University insurance manager if the items stolen are of considerable value.

An excess of £2,500 has to be met by the University on each incident except theft of computers. If a computer is fitted with an entrapment device the excess is reduced to £250.  Laptops must be locked away and out of sight when not being used to enable a claim to be made with the £250 excess.    Thereafter a £1,000 excess will be placed on each and every claim unless it is covered by NACOSS Intruder alarm.

  1. THIRD PARTY COVER


The University acquires insurance to protect itself and staff against claims arising from third parties.  Third parties include such individuals as students, University visitors, etc.  Thus, if the University, or any of its employees, is negligent and a third party suffers because of this negligence, then the individual concerned can sue the University and the Institution then looks to its Insurers for cover.  Third party cover extends to field trips or industrial/study visits.  Full details of the level of cover can be obtained from the University insurance manager (8846).

  1. UNIVERSITY PROPERTY MOVED FROM THE PREMISES


The University has “in transit” insurance for property of up to £100,000.  Please give the University insurance manager written notification of any property over this amount to be removed from the University for official use.  Any property to be taken outside of the UK will not be covered unless notification is given to enable cover to be arranged with Insurers. Such notice should be given at least 10 days before the removal is carried out.  The University insurance manager can:

  1. check that the value and nature of the property concerned does not exceed the scope of cover, or, if it does, obtain the additional cover for which an additional premium will be charged
  2. ensure that official notice has been given to the University of the intention to remove property, thus making it easier to make any necessary subsequent claim.  Staff and students removing equipment from University premises must remember that the University’s insurance policy does not cover theft from unattended road vehicles unless:
    1. all doors and boots are locked and windows and other means of access adequately secured when the vehicle is left unattended.  The vehicle must not be left unattended for more than two hours
    2. the vehicle is kept in a locked garage overnight

  1. PROFESSIONAL INDEMNITY

The University is insured against liability at law for damages and claimants' costs and expenses relating to claims made against the University and notified to the insurers by reason of:

    1. any neglect error or omission
    2. breach of warranty of authority
    3. breach of trust occurring or committed in good faith
  1. any dishonest or fraudulent act or omission on the part of the University in connection with its activities.

  1. EXHIBITIONS/DISPLAYS


Please notify the insurance manager when you arrange an exhibition or display.  The University has exhibition insurance which provides cover for:

  1. its materials and students' work on display both within and outside the premises of the University;
  2. items of value loaned to the University for exhibition/display purposes.

This cover only operates if the security arrangements in the area of display are to the satisfaction of the Insurers and, for example, when the display is in an open area such as a foyer, staff are in constant attendance.  The insurance manager must inform the insurers if total value is in excess of £100,000 or any single article is in excess of £20,000.

  1. EXCLUSION


The following examples are of items which are NOT COVERED BY INSURANCE OR BY THE UNIVERSITY ITSELF:

  1. Loss of private goods belonging to staff, students or visitors.
  2. Damage to private vehicles being used on University business, or indeed claims made by passengers or other third parties in the car under these circumstances (the mileage allowance paid to staff includes an element to cover any additional costs arising from effecting insurance cover for business use.


It should be noted however, that in all the above cases the University can be sued by an aggrieved individual, if negligence on the part of the University employee is involved or suspected.  Moreover, it should be stressed that the above list of exclusions is not meant to be comprehensive but merely shows examples set out to demonstrate the type of loss etc. which is not covered by the University.

  1. PERSONAL ACCIDENT AND TRAVEL INSURANCE


The University has arranged Personal Accident/Travel cover with Aon Protect for staff while engaged in administrative and field trips, and students for field trips only.  The current level of benefits for staff is up to £100,000 for death, loss of eyes or limbs, or permanent total disablement.  The benefit for students is £50,000.  


Where such trips involve travel overseas, or are within the United Kingdom but require an overnight stay away from their residence, both staff and students are covered for - loss of baggage up to £10,000 -  money up to £3,000 including  travellers cheques per person.  


Cover is operative from departure from an individual's residence or from the University (whichever is the later) until return to the University or residence (whichever is the earlier). THIS IS A BUSINESS POLICY, WHICH MAY COVER A SMALL AMOUNT OF ANNUAL LEAVE, ATTACHING TO A BUSINESS TRIP, DEPENDING ON THE LENGTH OF TIME, WHILST TRAVELLING ABROAD.


Staff and students are also covered for unlimited emergency medical expenses while on insured trips overseas unless travelling to their country of domicile, wherefore the medical risk is not covered under this policy.


Where members of staff need to travel abroad on official University business, the University's liability and travel insurance cover automatically extends to include this trip.  There is also additional cover with Allianz Cornhill for University property (including computers/laptops) taken abroad with the same restrictions as in the last paragraph of item 2 of this document. THERE IS NO COVER FOR VEHICLES HIRED ABROAD. COVER HAS TO BE OBTAINED FROM THE HIRE COMPANY IN COUNTRY.


ALL TRIPS ARE COVERED PROVIDED TRAVEL IS NOT BEING UNDERTAKEN AGAINST THE ADVICE OF THE FOREIGN AND COMMONWEALTH OFFICE.  (Speak to the Insurance Manager if in doubt 8846)

Details of all travel - whether field trips or overseas business trips - should be logged on the Travel Website, and a travel number obtained, accessed through the Staff/Student Portal before the trip takes place or cover may not be activated.

  1. VISITS TO THIRD PARTY PROPERTIES


The University's liability insurances extend to cover visits to third party properties.  However, if a member of staff or student suffers injury as a result of negligence of a third party or their employees, the aggrieved person may pursue a claim against the third party.
