Academic Workload Planning

Our Academic Workload Planning (AWP) tool replaces BAW2 and will help us plan effectively, efficiently and fairly as we work towards the goals set out in This is Our Time 2030 University Strategy.

The 2022/23 academic year has been a transition year in which we have both rolled-out and continued to further test and refine our new AWP tool and associated processes. To support this transition, training sessions have also been offered to all academic staff who either allocate work or have work allocated to them.

AWP is a process of dividing and distributing tasks across our teaching staff.  The new system has been adopted to support and service the academic users who both distribute workloads and receive workloads.  This approach also helps the university to fairly divide its resources to support key academic activities.

AWP Support is a team dedicated to managing AWP across the university led by Debbie Grossman (Student Number & Academic Workload Planning Manager), Pritam Chaudhari (Systems Administrator) and Bev Woodhams (AWP Manager) who sit within the Planning and Statistics (PAS) Directorate.

There are many major, minor and in-between activities that must be taken into account when considering an individual’s academic workload.  The team works in collaboration with Line Managers, Allocators and Direct Reports to ensure that the workloads and the system are planned with a high level of accuracy.

If you have an issue with your allocated workload your first point of contact is your line manager/workload allocator. If it is felt that  process clarification or additional functionality is required, please contact the AWP team via the email below.

During the transition year the university promises that no one will have a higher workload than under the previous system (BAW2).

If you have an idea, a suggestion or a question relating to any aspect of AWP, please email the team at awpsupport@gre.ac.uk, or use the AWP feedback form.

AWP Documentation

  1. AWP Quick Reference Guide to the Tariff

This document contains the tariffs for academic activities and tasks.  It is divided into four areas:

    1. Teaching & Learning.
    2. Research & Knowledge Exchange.
    3. Leadership & Management.
    4. Administration & Academic Citizenship.

Each area identifies its activities and tasks, shows the allocation hours and the given activity type name.

  2. AWP Guidance Document

This document contains the University of Greenwich approach to AWP, our principles, policies and processes. Following the university values the project aims to be:-

    • Inclusive being supportive and fair to all users.
    • Collaborative as we work across the institution, linking Academic and Professional Services,
    • Impactful making a difference to the university going forward.  AWP will guide us with predictions, help manage our outcomes and ultimately benefit both students and staff.

  3. AWP Technical Guidance for Line Managers

This is the step-by-step document that will help you navigate through each screen.  The key concepts or ‘Building Blocks’ are in this handbook.  Your dashboard and allocator screen are explained in detail as well as how to identify and manage an activity that is unique to your programme. This also includes how to request staff from other faculties and how to inform your Direct Reports that their workload is  ready to be checked.  This is a full and comprehensive handbook. If your task is not there, add it within the ‘other’ box and the AWP team will monitor this.
