The steps you need to follow in order to obtain your Enhanced Disclosure Barring Service (DBS) Certificate.

1) Wait to receive a DBS invite email

Students who need to complete a DBS check will receive an email from dbs@greenwich.disclosures.co.uk containing a link to our online DBS application service.  This will allow you to create an account to track the progress of your application throughout.  

If you think you should have been sent a DBS invite email and haven't then please email the Student Centre or call 020 8331 8272

2) Select your identification documents and complete your application

Log into your DBS application service account and following the instructions provided on the screen.  You will be asked to create a password for the online service, complete the application and enter details from a minimum of three accepted documents.  These documents must confirm your full legal name, date of birth and current address. 

You must make sure you use original documentation that is still current and cannot use photocopies or documents printed from the internet. This is because you will need to bring these same three documents with you when you have your documents verified.

3) Make your DBS payment online

To proceed with the application you will need to make a payment of £49* using our secure online payment system before attending a drop-in sessionat one of our three Student Centres, where the university will verify the three documents you selected in the first step.

During the payment you will be asked to select a time and Student Centre you would like to visit to verify you documents.

*Student Ambassadors and current students taking an optional placement should check if the DBS cost is being subsidised by their faculty or department before making payment. If no payment is due, you should come to one of our Student Centres at any time during our opening hours to verify your identity using your 3 selected documents. For more information please email StudentCentre@gre.ac.uk

4) Verify your identity at a Student Centre

You will need to visit a Student Centre, to verify you identity documents.  These would be the same three documents that you used when completing your online application.

5) Tracking your DBS application

After you have verified your identity your DBS application will be sent for processing.

You will continue to have access to the online DBS application service in order to track the progress of your application, and will be notified when the check is complete and your DBS certificate has been issued to you.

It is your responsibility to contact the DBS if your application takes longer than 60 days to complete. If you notice that your application has exceeded this timescale you should phone the DBS on 03000 200 190.

Upon completion of processing the DBS will post your Disclosure Certificate to you at the current address you used when making your application. If you move to another address before you receive the certificate you should contact the DBS immediately in order to notify them of your new address.

Important Notes

  • Students who do not have satisfactory clearances in time may have their placement activities suspended until satisfactory clearances are obtained.
  • Any University of Greenwich bursary payments that you may be entitled to will be delayed until we have had your DBS clearance.
  • We will make every effort to help you complete the process thoroughly but cannot take responsibility for delays in the processing of your disclosure application due to inaccurate or incomplete information supplied by you, or through any specific queries which may arise at the DBS in relation to the information you have supplied. Nor will the university be held responsible for any delay in receiving your DBS Enhanced Disclosure certificate, which in turn may result in a delayed placement and funding.
  • As the disclosure is part of your career portfolio it is your responsibility to contact the DBS in case of lengthy delays.
  • Payment for the DBS check must be made via our secure online payment system and refunds can only be made to the card used for payment; we do not accept cash payments. Once you have completed and submitted your online application to the DBS you will no longer be entitled to a refund.
  • If you are an overseas student or have spent a considerable amount of time living abroad, you are required to obtain a 'Certificate of Good Conduct' (a police records report). Certificates of good conduct for overseas applicants can most easily be obtained from their Local Law Enforcement body prior to entry to the UK; however, where an applicant is already residing in the UK, additional advice can be obtained from the relevant embassy or high commission. You should present this certificate to the university's Student Centre.
