Choosing a photo for your university account

Adding a photograph to your account is optional - follow these guidelines and choose a photo to help others easily recognise you.

Adding a photograph to your university account is optional, and you can choose to update your photo as often, or as infrequently as you like.

You can now add your profile photo to Microsoft 365, so you can show your identity online and help our staff and students recognise you more easily.

We ask that you choose a photo which will help others easily recognise you, and you may be asked to change it if it does not achieve this.

The table below shares recommended practice to help us all 'put a face to a name' on our systems.

Follow these guidelines:

Always use

a 'headshot' image which clearly shows your full face, with your head and shoulders in the photograph.

a picture of you by yourself wearing your normal attire.

Consider using

a recent colour photo.

an image you would be happy to share on your LinkedIn profile.

an image without highly contrasting deep shadows - a photo taken using natural lighting will help with this.

Avoid using

a cartoon image or an avatar.

images you or the university do not have copyright for.

an image which is not a 'headshot' image of you.

a photo of you with a head covering or glasses unless you wear them as part of your normal attire.
