Academic Workload Planning System is Now Live

The Academic Workload Planning (AWP) system is now live and ready to use. Simon Lewis, Director of Strategic Planning & Business Intelligence shares an update.

Following on from previous communications, we are pleased to inform you that the Academic Workload Planning (AWP) system is now live and ready to use. This will be used for workload allocations over the forthcoming 2022/23 transition year.

You can access the system via the following link to the AWP page using single sign on (SSO) in the same way you would do with the Horizon system. If you have any problems with logging in, please email AWPsupport@greenwich.ac.uk

What this means for you and your teams

  • The AWP system is now loaded with real data to inform your workload allocations for 22/23. This means you can start making initial allocations to your direct reports and publish them when ready.
  • As it’s a new system, allocations need to be made from scratch. However, you can use any previously agreed workloads to help inform the new allocations. In future years we’ll rollover allocations each year which means you’ll more likely be updating workloads rather than re-allocating whole workloads for each staff member.
  • If you need to access your previous workload allocation data, this will still be available until later in the academic year. After this the old site will be decommissioned but individual workload data will still be available upon request.

Guidance Documents

To support you with the process of workload allocations and navigating the system, we have created guidance and support documents. Before using the new system, please read through the Framework Guidance Document and Quick Reference Guide to the Tariffs which are there to help you with workload allocation and the logic underpinning the tariffs and workload calculations.

There is also Technical Guidance for Line Managers which can be used as a manual to navigate using the AWP system. A separate technical guide for all staff will be made available soon to accompany wider AWP awareness sessions.

Training

All line managers or those responsible for allocating workloads should have completed the system training that took place throughout July. Additional sessions will be scheduled for August and September for anyone who has missed the sessions so far. If you did not book onto the previous training, please contact Looqman Patni.

System awareness training for all direct reports is available in September. Please encourage your teams to book onto one of these sessions.

We’ve also committed to the Workload Pledge where, over the course of the transition year, we’ll be ensuring that no-one will be worse off in terms of their workload as a result of the changes. In cases where workload may be significantly affected, colleagues are encouraged to raise it with their line manager and contact the AWP team on  AWPsupport@gre.ac.uk
