Worktribe

Worktribe is the University’s central system for managing and supporting research activity. It brings together key information, processes, and records into a single platform, helping users to access, update, and report on research‑related activity in a consistent and efficient way.

This page provides an overview of Worktribe and signposts users to information that will help them understand how the system works, how to navigate it effectively, and how to make use of its core features.

The University has invested in ten modules within Worktribe, which are available through the platform to support different aspects of research activity:

  • Contracts
  • Due Diligence
  • Ethics

As users engage with each module, guidance will be made available to explain how the module works, what it is used for, and how it aligns with established ways of working.

Access

Before being granted access to Worktribe, all users must complete training to ensure they understand how to use the system appropriately and effectively. Training can be completed by attending a scheduled training session or through a one-to-one session with an approved Trainer. Approved Trainers include Funding Development Officers, NRI contacts, Digital Champions, and RKE Managers.

FAQs for Worktribe

Opportunities will be uploaded for you, no action needed from PI

The Funding Development Team will regularly upload Opportunities into Worktribe. They will:

  • Collate research funding opportunities from sources such as Research Connect
  • Add any opportunities requested by colleagues

You don’t have to upload opportunities yourself.

If you do come across an opportunity that is currently not available on Worktribe, please contact the GRI/NRI Team.

Peer Review is encouraged but not required, and deadlines are flexible

There is no minimum review time, and Peer Review is not compulsory.

Worktribe will help by sending automatic reminders to reviewers, and you can add more than one reviewer if needed.

If a deadline is tight, the PI can still submit the bid for approval even if the review hasn’t been completed yet, but this may differ between faculties as some faculties/schools may want the PI to wait to hear back from the Peer Reviewer first.

Principal Investigators have full visibility of all budget versions

PIs will work closely with a Funding Development Officer or NRI administrator to shape the budget. Principal Investigators have full visibility of all budget versions, giving them a clear view of how their project costings evolve throughout development.

In Worktribe:

  • Funding Development Officers and NRI Admin hold the editing rights and can update the budget in partnership with the PI
  • Although PIs cannot edit budgets, they can view all budget iterations, not just the active one
  • This keeps PIs fully involved while ensuring budget accuracy

This model ensures that PIs remain fully involved in all budget decision while benefiting from the expertise and accuracy provided by the FDO/NRI Administrative teams.

You can control notifications you receive in Worktribe

Every user can adjust their own notification settings.

You can turn:

  • Email alerts on or off
  • Specific notification types on or off
  • All settings can be updated anytime in your Worktribe profile

This means you only receive messages that are useful to you.

Projects can be added retrospectively, but they must still go through normal approval

If a project appears unexpectedly (for example, when a contract arrives without a formal submission), it can still be entered into Worktribe at any stage, including retrospectively. It must, however, be created in the Pre Award module first, even if it already exists in Post Award.

Like all other projects, it will still need to follow the standard internal approval process within Worktribe.
