After you submit your claim
You’ll receive an email to your Greenwich account confirming receipt of your EC claim. You may also receive further emails with updates and/or requesting further information/evidence to support your claim. Make sure you read all emails thoroughly and respond by the given deadlines.
We will review your claim to decide:
- If your circumstances are extenuating
- If your evidence clearly supports your claim
- How difficult/impossible it was to undertake your assessment
If you submit your claim close to an assessment deadline, we cannot guarantee you will be notified of the outcome of your claim before the deadline. You are responsible for making the decision to submit your coursework or attend your timetabled exam.
If you have requested an extension, you should continue with your work and not wait for the outcome of your EC claim. Any extension granted will be from the original submission date, not the date you receive your outcome.
Please note that whether your claim is accepted or rejected, any further evidence sent will not be considered. The outcome you receive is the final decision of the EC panel.
Claim outcomes
You will be notified when the final decision on whether your claim has been accepted or rejected has been made, usually within 14 calendar days. Your outcome letter will then be available to view in the My Documents section of the Digital Student Centre.
Check the sections below for details of each possible outcome of an EC claim.
Extensions – accepted
You should submit your coursework at the earliest available opportunity and within 14 calendar days of the original submission deadline using the late submission link on Moodle.
If you have been granted a 14-calendar day extension, but you are unable to submit the work by the extended deadline, you are able to request, within 7-calendar days of the extended deadline, that the claim be changed to a deferral.
If you submit your work by the extension deadline
Your work will be marked and the grade you achieve for your work will be recorded and used to calculate your overall module grade.
If you do not submit your work by the extension deadline
Your work will not be accepted and will be recorded as a ‘non-submission’ or with a grade of 0.
You cannot submit another extension claim for the same piece of coursework if you have missed the extended deadline. However, if you have valid reasons why you can’t submit by the extension deadline, you can make a new properly evidenced EC claim for a deferral, provided you are within the EC submission deadline.
Extensions – rejected
FIRST SIT
If you submit your work by the original deadline
Your work will be marked, and the actual mark gained will be recorded and used to calculate your overall module grade.
If you submit your work by the extension deadline
Your work will be marked, and the mark gained will be recorded. Pass grades will then be ‘capped’ at the minimum pass mark (usually 40% for undergraduate modules and 50% for postgraduate modules) and the capped mark will be used to calculate your overall module grade.
If you do not submit your work by the extension deadline
Your work will not be accepted and will be recorded as a ‘non-submission’ or with a grade of 0. Your results letter will explain the options you may have to retrieve the assessment.
ASSESSMENTS DUE IN THE RESIT PERIOD
If you submit your coursework by the resit deadline
Your work will be marked, and the actual mark gained will be recorded and used to calculate your overall module grade.
If you do not submit by the resit deadline
Your work will not be accepted and will be recorded as a ‘non-submission’ or with a grade of 0. Your results will explain the options you may have to retrieve any failed items of assessment.
If you do not have an accepted EC claim, you must submit by the resit deadline. If you use the extension link to submit work after the resit deadline, it cannot be considered by the Progression and Award Board.
Deferrals – accepted
You will normally be offered an opportunity to retake the missed item of assessment at a time decided by the PAB. This will be considered a ‘first attempt’ and no penalty will be applied to the grade. Your results letter will confirm the timing, which will either be during the resit period or in the next academic year as a repeat.
If you have been granted a deferral request, but you are able to submit the work within the 14-calendar day extension period, you are able to request that the claim be changed to an extension so long as you do so within 7-calendar days of the extended deadline.
FIRST SIT
Reassessment during the resit period
If you submit deferred coursework by the resit deadline or sit a deferred exam during the resit period
Your work will be marked, and the grade gained will be recorded and used to calculate your overall module grade.
If you submit deferred coursework by the extension deadline
Your work will be marked, and the grade gained will be recorded. Pass grades will then be ‘capped’ at the minimum pass mark (usually 40% for undergraduate modules and 50% for postgraduate modules) and the capped mark used to calculate your overall module grade.
If you don't submit deferred coursework by the extension deadline or sit the exam
The item of assessment will not be recorded and a ‘non-submission’ or 0 grade will be recorded against the item of coursework. Your results letter will explain the options you may have to retrieve the assessment.
Reassessment in the next academic year
Any items of assessment to be repeated it the next academic year on a deferred basis will count as a first sit with no penalty applied to the grade.
ASSESSMENTS DUE IN THE RESIT PERIOD
For accepted claims for deferral for assessment due in the resit period, you will be offered an opportunity to repeat the assessment(s) in the next academic year as a first sit with no penalty applied to the grade. There are no further opportunities to resit assessments within the same academic year.

ASSESSMENTS DUE IN THE RESIT PERIOD
If you submit your coursework by the resit deadline
Your work will be marked, and the actual grade gained will be recorded.
- If you have achieved a pass grade, the Progression and Award Board (PAB) will decide whether to offer you an opportunity to improve the grade - if they consider that the grade is of a similar standard to your other grades and will not significantly affect your award classification they may not feel this is necessary, it is their academic judgement. The higher of the two grades from both attempts will be recorded.
- If you don’t pass at the first attempt, you may be offered an opportunity to retake the missed item of assessment and the grade will not be capped.
Your results letter will confirm the timing of any opportunities to improve or retake the assessment, which will either be during the summer resit period or in the next academic year.
Impaired performance – accepted
Your work will be marked and the actual mark gained will be recorded.
- If you have achieved a pass grade, the Progression and Award Board (PAB) will decide whether to offer you an opportunity to improve the grade - if they feel that the grade is of a similar standard to your other grades, they may not feel this is necessary, it is their academic judgement. The higher of the two grades from both attempts will be recorded.

Can a successful claim for ECs improve my mark?
No. An approved claim for extenuating circumstances won’t alter the mark given to that work.
What if I don't agree with the outcome of my extenuating circumstances claim?
If you don’t agree with the outcome of your claim, you may be able to request a review of the outcome using the Academic Appeals Procedure.
