IT and Library Services

Leaving the university

You will not be able to access any data from your university-hosted file storage once your account has been disabled, so it's important to download what you need before you leave. Here we share how you can do that.

Students: Get started early

It's much easier to back up and delete your work, uninstall software from your devices and let people know your new email address while still at the university.

Your student IT and Library accounts will be disabled 90 days after you have completed your studies

Once you have completed, you will receive countdown emails and see a notice on the Portal page to give you plenty of warning.

You can find your exact completion date in the "Student Records (BannerWeb)" channel of the Portal. Select the "View Your Student Profile" link and check the  "Date of Decision" field at the bottom of the page.

After this period, you will not be able to access your files, your university e-mail or any other resources which you access via your university login or email address. This includes our student Portal, Student Records, our Digital Student Centre and other services.

You need to follow the instructions below and take copies of any files and e-mails you may need in the future.

Return your library books and resources

Books should be returned to one of our campus libraries in person or by post. Check our opening hours here.

Check your account for loans and charges by logging into the portal and selecting My library account from the My learning tab.

If you have lost a book, you will need to pay for its replacement. Please contact your campus library if you would like to receive an invoice. We are unable to give refunds if you later find the book so do have a good look first. If you pay and then find the book, it's yours to keep.

Save your documents, emails and attachments before your account expires

Take a copy of any data or files that you want to keep from Adobe Cloud or Teams, OneDrive and other Microsoft applications as you will not be able to access these files once your account has been disabled.

Your university IT & Library Account  (username and password) is linked to our other systems and as it is disabled, your access to other university resources (including Virtual Learning Platforms such as Moodle and Panopto) will cease.

Update your contacts to an alternative email address

You will not be able to access your university email account once your account expires.

Set up an alternative account with an email provider and start to inform friends and colleagues of your new address, update your CV, any social media sites or any other online accounts which may use that e-mail address.

Log into your university e-mail account and take a copy of any e-mails you wish to retain from your university email account.

Unlink the Microsoft Office apps on your personal devices from your university account

If you have downloaded and installed any copies of Microsoft Office via Staff and Student Advantage this will expire when your account is disabled. Unlink your university licenced services from your personal devices before your account expires.

The link to your OneDrive for Business area will cease. Initially you will be unable to save or open files from that area. Microsoft Office programmes (eg, Word or Excel) will flash up a warning message that the software is no longer licensed. Shortly after that the programmes will change into "Read Only" mode, which should allow you to open existing documents but not make any changes to them.

Microsoft advise that you can re-license Office with a personal subscription or another institutional licence to reactivate the software.

Use up your Print Credits

We are currently investigating the possibility of refunding money to final year students who have large print credits. As yet, there is no process in place, so please use your print credit before you leave.

Resign from your student-staff post if you are a Jobshop worker, Student Ambassador or PGRTA

It is important that you submit your resignation from your student-staff contract before you leave the university. This will help you avoid tax and pension complications.

To do this you should check you have submitted and been paid for any outstanding timesheets and then email horizonhelpdesk@greenwich.ac.uk with the subject ‘Student-staff Resignation’ and include in your email.

  • Date of your last shift working for the university
  • Whether you are resigning from the Student Ambassador, Jobshop or PGTRA role at University of Greenwich
  • The address you would like your P45 posted to.
You must take a copy of all your payslips and tax year (P60) documents before you resign as you will not be able to access these on Horizon after your contract is terminated. Find out how to download your people and payroll related documents here.

Find your results, official documents and graduation information

All the information you need about completing your studies can be found on our webpage. It will help you make the most of the support and resources available to you as you prepare for the end of your time at the university.

Join our alumni community and become an alumni library member

As a Greenwich Graduate you will join our alumni community – a global network of more than 250,000 former students. This membership is free and lifelong. There’s nothing that you need to do in advance of joining, except update your contact details via Student Portal when prompted during your final year. Find out more about your Greenwich alumni community.

All members of our University of Greenwich Alumni community can become library members. Find out more about our alumni library access and how to apply here.

Staff

You will not be able to access any data from your university-hosted file storage once your account has been disabled.

Microsoft Office installed on your personal devices via the university's Office 365 agreement

If you have downloaded and installed any copies of Microsoft Office via our Office 365 agreement, the link to your OneDrive for Business area will cease. Microsoft documentation states that you can re-license Office (with your own personal subscription, or if you are studying at another institution with an Office 365 agreement) and the software will re-activate with the latest available version.

Make sure that you unlink university licensed services such as OneDrive from your personal devices BEFORE your account expires.

  • Log into your university e-mail account and take a copy of any e-mails you wish to retain from your staff e-mail account.
  • Take a copy of any data or files that you wish to keep (including files in Adobe Cloud storage) as you will not be able to access these files once your account has been disabled.
